Terms & Conditions

Please Note:

Registration is for information purposes only and *does not* require you to take a course or make payment.

If you registered without confirming, then you are not bound by these Terms and Conditions.

Your course is confirmed, and these Terms and Conditions, also known as Cinta Bahasa School Policy apply only if at least one of the following conditions are met:

1. You have confirmed joining the group using any means of communication.
2. You have placed a deposit to join a course.
3. You have received your schedule to attend a course and have attended a class.
4. You have verbally promised to make payment at the first class.

Cinta Bahasa School Policy, Terms and Conditions

1. Types of Courses

a. Cinta Bahasa offers two main types of courses, Private Courses and Group Courses.

Private Courses are courses taken at our school, where one or two students maximum learns with one teacher. Online Courses are also Private Courses.

Intensive Private Courses are Private Courses which are at least 4 hours each weekday for the learning period.

Regarding the minimum hours our students should take in a week for private course, we recommend and require our students to learn at least 3 hours a week (1.5 hours per session x 2 sessions per week) for effective progress and results, unless agreed to by prior arrangement.

Group Courses are taken at our school, where at least 3 students learn with one teacher.

b. Having classes at your home or office. Unless by prior arrangement, all Private and Group classes are held at our schools in Ubud and Sanur, or at another official location specified by our Student Relations. While it may be possible to have classes at your home or office, please note that requesting such classes may incur additional charges to cover the cost of time and distance spent in travel.

c. All Courses are Non-Transferable and Non-Refundable unless covered within these Terms and Conditions, as in Point 1.d. above. However they may be rescheduled or deferred to a future date.

2. Confirmation of Course

Once you have paid a deposit, been scheduled, or confirmed joining a course either verbally or by email, you are then bound to the following terms and conditions:

a. Payment of a deposit is required to confirm your schedule and place in a course. Confirmation is made and schedules are arranged only after a deposit of at least 50% of the course fee has been paid in advance of the schedule being provided.

b. For reservations made within 7 days of your classes starting, payment in full of the course fee is required in advance.

c. If advance payment cannot be made, only with prior agreement with Cinta Bahasa can payment be made before the first class. If you have made a promise to make payment at the first class, please be sure to keep your promise and ensure that payment is made before the class starts.

d. You may cancel your reservation before your registration has been confirmed and before you have received your schedule. To cover the cost of currency fluctuation and transfer fees and administrative costs, the amount refunded will be 75% of the amount paid.

e. Once your reservation has been confirmed with payment and you have received your schedule, if you wish to cancel your reservation the cancellation fee is 50% of the total cost of the course if the course is canceled within 25% of the learning period. Beyond this period, there is no refund of the course fee.

f. The textbook you have been given is the property of Cinta Bahasa until the course fee has been paid in full. Until that time, if for any reason not to continue taking the course, the textbook and any materials received must be returned to Cinta Bahasa.

g. The CB textbook is not for sale by itself, and our teachers are not allowed to teach separately from their employment with Cinta Bahasa.

3. Arriving Late for Class

a. Classes start and end according to the schedule. Please inform your teacher if you will be late for class. If you are more than 15 minutes late without notice, Cinta Bahasa reserves the right to cancel the class.

b. For Online classes, please send a skype message to your teacher 5 minutes before the class starts, and your teacher should do the same to confirm the communication system is working correctly.

c. The teacher is obliged to wait 15 minutes from the confirmed start time of the class, before it is cancelled and counted as being taken.

4. Cancelling/Missing/Rescheduling/Deferring Classes

Every Friday afternoon, we distribute the schedule for the following week to all of our teachers. This is because our teachers prepare for your class in advance and so missed classes are lost opportunities for our teachers to teach.

a. You may cancel your reservation before your registration has been confirmed and before you have received your schedule. To cover the cost of currency fluctuation and transfer fees and administrative costs, the amount refunded will be 75% of the amount paid.
Once your reservation has been confirmed with payment and you have received your schedule, if you wish to cancel your reservation the cancellation fee is 50% of the total cost of the course if the course is canceled within 25% of the learning period. Beyond this point, there is no refund of the course fee and we can only reschedule or change your course type.

b. If you need to reschedule with less than one week’s notice, but not less than 24 hours notice, you may reschedule class(es) only two times during a 20-hour course; three times during a 40-hour course, and four times for courses of 60-hour or more. . After this, courses changes must be made the week before during office hours.

b. Your new classes must be taken within the learning period, otherwise the course may be considered to be Deferred, see Point 4 below. The Learning Period is the maximum length of time of the Course Duration. For Private Courses, you have the following limit to the Learning Period:

20 Hour Course : Course Duration + 4 weeks

40 Hour Course : Course Duration + 5 weeks

60 Hour Course : Course Duration + 6 weeks

80 Hour and more : Course Duration + 8 weeks

c. When scheduling your classes to start again, please inform us 2 weeks in advance so that we have sufficient time to reactivate your learning program.

d. Rescheduling Group Class(es) Beginner Group classes can only be done by the teacher if the class being rescheduled falls on an Indonesian National Holiday.

e. Rescheduling Special Group Classes. If you booked a Group Course separately from our regularly-schedule course, classes can only be rescheduled if all of the following conditions are met. 1. all group members agree. 2. the teacher is available for the new schedule 3. the class is re-scheduled for the following week.

f. Missing/Cancelling Class. We do understand that there are unplanned and unexpected things happen to us that might prevent us from coming to the scheduled class. If you must miss classes, please be sure to reassure your teacher that you are serious about attending all of your remaining classes. However, in cases where classes must be missed, the following School Policy applies:

Group Courses

Classes missed in the group course cannot be made up at another time, except by taking Private Classes at the rate of Rp 100,000 per hour to catch up, which is a big discount on our regular rate for Private Classes. In group courses, we do recommend you to have catch up classes if you miss a class. This is to ensure that the pace of the group will not be disturbed. If you know that you will miss more than three classes, please consider to convert to Private Course, or discuss your options with our Students Relation Officer.

Private Courses / Online Courses

If you know that you will miss one or more class in the following week, please consult Students Relation Officer section. If you must miss a class in an ongoing week, your class will be considered as taken unless agreed to with your teacher.

5. Deferring Your Classes or Course

When you have agreed on your course schedule, the schedule is considered as an agreement between you and Cinta Bahasa. If you need to defer the starting date of your course or the rest of your ongoing course for any reason, to an uncertain date in the future, the following chart applies:

6. Changing Courses

a. It is your responsibility to ensure that you are registered for the correct course. For example, if you have registered and confirmed to join the Beginner Group, but you feel you may be more advanced, please request an assessment test in advance. If you wish to switch courses, the classes you have taken are not counted towards the new class, and will need to be paid for.

7. Paying in the currency of your choice other than Indonesian Rupiah (IDR)

a. Our Course Fee Chart presents course fees for a range of currencies which is displayed on each course information page. We use differential pricing to account for relative Purchase Price Parity and to account for fees charged by payment providers.

b. If you wish to make an international transfer, please inform us by email to Student Relations so that we can arrange it with you. We do not accept international transfers from banks outside of Indonesia to our Indonesian account, due to numerous problems with receiving these transfers.

c. Payments within Indonesia may be paid in cash, or by debit or credit card, or by local bank transfer. The fee charged in IDR is lower than other rates as a discount to KITAS holders, volunteers and residents of Indonesia.

8. Visa Sponsorship

If you are requesting Visa Sponsorship from Cinta Bahasa, please note the following basic conditions.

    a. The Course Fee for a 6-month Social Cultural Visa Sponsorship is a minimum of 240 Hours of Regular Private Classes, to be taken every month during the 6 month visa period. The course fee needs to be paid in advance.

b. Students requesting a visa will be required to prepare all necessary documentation required by Cinta Bahasa and the Ministry of Immigration of the Republic of Indonesia, and are personally responsible for applying for the visa outside and inside the country and for any costs incurred for their application.

c. Students will sign an agreement regarding the fulfillment of a list of requirements in order to receive Cinta Bahasa’s sponsorship.

d. Cinta Bahasa is only sponsoring the visa. The student needs to arrange the visa him/herself.

e. Visa application decisions are made by the Ministry of Immigration and not Cinta Bahasa. Cinta Bahasa cannot guarantee that all applications will be approved.

9. Communications

a. Please keep all communications via email so we can have a transparent communication. We can have initial Whatsapp, Fecebook messenger or phone call conversation but the rest will be done via email. You can communicate via whatsapp and phone call if you need to inform something urgent.
